Exploring SAP Analytics Cloud (SACE 11): Managing Files

🎯 Objective

After this lesson, you will be able to manage, share, and organize files in SAP Analytics Cloud.

📂 Files in SAP Analytics Cloud

The Files area is where you access most of your SAP Analytics Cloud resources, such as:

  • Stories

  • Models

  • Input forms

  • Presentations

  • Data actions

📁 Folders in “My Files”

You’ll find three key folders:

FolderDescription
My FilesYour personal space. Shows both your own files and any shared with you.
Input FormsContains planning/input templates assigned to you.
PublicShared across the organization. Default access is read-only, but admins can assign broader permissions.
SamplesContains SAP-provided sample stories and models for reference.

You can click a file name to open it, or check the box next to it to see additional options in the file ribbon (e.g., share, delete, rename).

🔐 Security, Management, and Monitoring

SAP Analytics Cloud includes:

  • Data and functional security, set by administrators.

  • Activity logging: Everything users do is tracked and auditable.

  • Monitoring tools: Allow admins to track usage and system stats.

  • Quarterly releases: Feature updates and changes are rolled out every three months.

❗Note: Source and target systems must be on the same version (or just one version apart) when sharing content across tenants.

🌐 Content Network

  • Used to transfer content across SAP Analytics Cloud tenants (e.g., dev to prod).

  • Includes stories, models, data actions, and more.

  • Each system can store up to 300 MB of free exportable content in the “My Content” area.

  • Also hosts SAP Business Content, which admins can import and assign to users.

🤝 Sharing Content

You can share files from:

  • My Files area (select one or multiple)

  • Inside an open file (use the Share button)

🔑 Access Levels When Sharing:

Access LevelPermissions
ViewRead, copy, view/add comments
EditIncludes all View permissions + update/create files & folders
Full ControlIncludes Edit + delete, share content
CustomManually selected combination of permissions

✔ Tip: You can also check the box to send email notifications when sharing content.

To remove sharing, expand the "Shared with" area, select the users/teams, and click Delete.

📌 Pin to Home

Want quick access to important visualizations?

  • Use the More Actions menu on a chart → Select Pin to Home

  • The chart will now be visible on your SAP Analytics Cloud Home page

📅 Scheduling Publications

If you have the Schedule Publication privilege:

  • You can schedule a story to be shared at specific times

  • Can share with multiple users inside your tenant and up to 3 non-SAP Analytics Cloud users

  • Access scheduling from:

    • Favorites

    • Featured files

    • Files page

🧪 Practice Scenario: Share and Unshare a Story

You're new to SAP Analytics Cloud and want to practice sharing options:

Steps:

  1. Go to My Files

  2. Select your story

  3. Click the Share icon

  4. Choose users/teams and assign access level

  5. (Optional) Check “Email new recipients”

  6. Click Send

  7. To remove sharing, go to “Shared with,” select users, and click Delete
